University Friends Meeting

Monthly Meeting for Business – July 19, 2020

Clerk, Doug Chambers, opened the meeting. Sue Wine offered a word of prayer. Doug shared some thoughts about John Lewis and invited members to a time of silent worship.

News of the Meeting

Greg Newby is taking Rhonda to the hospital to address leg vein pain. Catherine Griffith relayed word from LaVonna Loesch that the annual meeting of Great Plains Yearly Meeting is moving entirely online, Sept. 12.

Old Business

Committee Restructuring:

Members reviewed a revised committee restructuring proposal, distributed as “University Friends Meeting Committee Structure Proposal Version 2020.1.”

David McDonald stated that $4,000, rather than $1,000, would be a reasonable level of unapproved spending authority for the new Assets Committee.

Members discussed naming of the new committees.

The meeting approved the proposal with two changes: The unapproved spending authority for the Assets Committee to be set at $4,000 rather than $1,000, and Spiritual Life Committee to instead be called Ministry and Counsel Committee. The current committee structure will continue until the new committee structure is in place.

New Business

MAYM Representatives: 

Greg Newby and Patty Savely will attend the annual representatives gathering. 

GPYM Representatives: 

Cheryl and Paul Mallonee will serve as Great Plains Yearly Meeting representatives.

Nominating Committee Appointments:

Molly Loesch and Jacque Robinson have said they would be available to serve on the Nominating Committee. The Nominating Committee is a temporary committee formed every year or as needed. Doug said he would like to have two more people on the committee and asked nominations and self-nominations to be directed to him.

Committee Reports

Finance: 

David McDonald discussed the monthly financial report. Given that monthly payments to MAYM are terminating, members agreed to consider an additional donation to FUM and/or GPYM at the end of the year.

Members discussed missions giving. The missions committee will give a recommendation on quarterly giving to EFM Missions.

Trustees:

Doug Chambers reported on Trustees’ meeting yesterday. The committee discussed facility issues and groups who want to use the building during the pandemic. 

One option that was discussed was consolidating church operations from the entire building to just the original part of the building, and not the education wing. Trustees are researching options.

Molly Loesch stated that the original building has been approved for the use of Family Promise. Catherine Griffith said that the Scouts could also be accommodated within the original building.

Trustees agreed that while the meeting is not using the building for health and safety reasons, we do not feel comfortable providing the building for the use of other groups.

Ministry and Counsel:

Pam Chambers reported. The committee feels good about Patty and Greg representing UFM to MAYM on July 25. Catherine is taking a vacation July 30 to Aug. 10 and will be unavailable during that time. The special programs on those Sundays will be a message by Randy Mulliken, and senior recognition.

Christian Education:

Cheryl Mallonee reported. The committee is working on the Aug. 9 senior recognition, and on video storytelling for younger kids. The committee also discussed the idea of a social/educational Zoom meeting geared toward young adults, perhaps to be held once a month.

Visitation:

Beth McDonald urged friends to reach out through phone cards, notes and porch visits to members of the congregation during this time. 

Approval of the June Minutes

The minutes of the June 21, 2020, monthly meeting were approved.

Concerns of the Meeting

Doug addressed concerns about the Pastoral Search Committee. He said that the Pastoral Search Committee will be engaging in an evaluation of the transition process in the month of September.

Doug closed the meeting with a word of prayer.
